TERMS & CONDITIONS
1. Booking, Payment & Cancellations
Full payment must be made prior to the start of all camps and classes unless
otherwise agreed in writing.
All bookings are final and non-refundable. It is the responsibility of the
parent/carer to ensure all booking details are correct before confirming.
Places are allocated on a first-come, first-served basis and are only secured
once payment is received.
Cancellations by All About Dance UK
All About Dance UK reserves the right to cancel a camp or class if minimum
participant numbers are not met or due to unforeseen circumstances.
In this instance, a full refund will be issued.
Requests to cancel due to parent/carer error will only be considered in
exceptional circumstances and, if approved, will be subject to a £10
administration fee.
Cancellations by Parents/Carers
All bookings are strictly non-refundable.
Refunds or credits due to illness will only be considered at the sole
discretion of All About Dance UK.
A doctor’s note may be required, and failure to provide appropriate evidence
will result in no refund or credit being issued.
Behaviour & Removal
If a child is required to leave a camp or class due to behaviour, no refund or
credit will be issued under any circumstances.
2. Medical Conditions, Allergies & SEND
Parents/carers must declare all medical conditions, allergies, Special
Educational Needs and Disabilities (SEND), and any additional needs at the
time of booking.
All information must be accurate, complete, and kept up to date.
Where any condition, allergy, or need is disclosed, a Medical Form or SEND
form must be completed in full prior to attendance.
Failure to complete required forms or provide sufficient information will
result in the child being unable to attend, and standard cancellation terms
will apply.
Medication
All About Dance UK staff are paediatric first aid trained and able to support
basic medical needs.
We will only administer medication prescribed by a doctor, where:
Written instructions are provided on the Medical Form
Medication is clearly labelled, in date, and in original packaging
Medication is handed directly to staff
We are not trained to manage complex or high-risk medical conditions
without appropriate training and planning in place.
Any complex medical needs will be reviewed in advance of attendance.
Where appropriate, additional arrangements or training will be made.
Parents/carers should ensure that medication is administered before
attendance wherever possible.
All About Dance UK reserves the right to decline or cancel a booking if we are
unable to safely support a child’s medical needs with the staffing, training,
and resources available.
SEND (Special Educational Needs & Disabilities)
Parents/carers must fully disclose any SEND or additional support needs.
This includes behavioural, emotional, sensory, communication, or learning
needs.
All About Dance UK operates within standard staffing ratios and does not
provide 1:1 support unless formally agreed in writing in advance.
Suitability & Support
We aim to provide an inclusive environment; however, we reserve the right to
decline or cancel a booking where we are unable to safely meet a child’s
needs.
This includes medical, behavioural, or SEND requirements.
All decisions are made in the best interests of the child and the wider group.
3. Health & Safety
The safety and wellbeing of all children is our highest priority.
All sessions are delivered with:
Appropriate staffing ratios
Risk assessments
Qualified and trained staff
First aid may be administered where necessary.
Parents/carers must:
Declare all medical conditions and allergies
Complete required Medical Forms
Provide accurate emergency contact details
Children may be refused attendance if required information has not been
provided or if they are deemed unfit to participate.
4. Drop-Off & Collection
Children must be dropped off and collected promptly at the scheduled
times.
Only authorised adults listed on the Camp Collection Form may collect a
child.
Identification or password may be requested where necessary.
If collection arrangements are unclear or unauthorised, the child will not be
released until the collection form is updated.
Parents/carers must remain contactable at all times during sessions.
Late Collection Policy
A 5-minute grace period is permitted.
After this, a £10 late fee will be charged.
Fees will be issued via Class4Kids and must be paid promptly.
Continued lateness may result in withdrawal of the child’s place.
5. Media & Marketing
Children’s names will never be used or made identifiable in marketing
materials.
Where consent is provided, images/videos may be used across:
Social media
Website
Promotional materials (e.g. leaflets, posters)
If consent is not given, steps will be taken to exclude the child from images.
By booking, parents/carers consent to receiving communications about future camps, classes, and services.
6. Behaviour Policy
Children must behave in a safe, respectful, and cooperative manner at all times.
Unacceptable behaviour includes:
Physical aggression
Bullying or inappropriate language
Disruption to sessions
Refusal to follow instructions
Behaviour will be managed through:
Verbal warnings
Time out
Parent contact
Removal from session or camp
All About Dance UK reserves the right to remove a child immediately if behaviour poses a risk.
No refund or credit will be issued, and the decision is final.
7. Safeguarding & Duty of Care
All About Dance UK has a legal duty of care to all children.
We will:
Provide a safe and supervised environment
Follow safeguarding procedures
Act in the best interests of children
All About Dance UK cannot accept liability for incidents resulting from a child’s failure to follow instructions or rules.
Safeguarding concerns will be recorded and managed appropriately.
8. Privacy & Data Protection
Personal data will be stored securely and handled in line with data protection regulations.
Data will be used for:
Bookings and administration
Health and safety
Communication
Data will not be shared except:
Where required by law
To protect the safety of a child
By booking, you consent to the use of your data as outlined above.
